Using custom states on Hellonext

Hellonext gives you five default post statuses which can be renamed based on your choice. These are the statuses that get shipped with your Hellonext account by default:

  • In Review

  • Planned

  • In Progress

  • Completed

  • Closed

To allow finer control over managing your product’s lifecycle, Hellonext now lets you create and manage Custom states, visible only to the team members of your organization and not to your customers!

Let’s take a second to understand the jargon!

  • Post Status: A post status on Hellonext marks the overall position of a feature/bug/support ticket along the workflow, starting with being reviewed to being marked as completed/closed.

  • Custom State: A Custom state created for a respective post status, is a point that the feature/bug/support ticket is in at a specific time, during the overall process.


How to create custom states?

Custom states are visible only to admin, member and CSM roles. Your customers will only see the main status. To get started,

  1. Navigate to your DashboardBoardsCustomizations.

  2. Scroll down to Status Customization. Click on More info to start the migration.

  3. To complete the migration click on Migrate.

    Note: The custom states are not yet available for integration flows and for the customers’ view. Syncs between Hellonext and applications like Jira, ClickUp and Zapier will be dependent on the default statuses.

  4. You will see an option to rename the existing status names and add new states respectively, using the +Add button.

  5. You can set a Name and Description for every custom state.

    Note: The default states under the statuses cannot be deleted but they can be renamed, color-switched and sorted.


How to edit and reorder the custom states?

You can edit the name, description and colour of a custom state at any time, just by navigating to DashboardBoardsCustomizationsStatus customization.

  • You can click on the edit icon to modify the name of the custom state.

  • Click on the state icon to change the color.

  • User the ↑ and ↓ to sort the states.


Where can I see the custom states reflecting on the platform?

Custom states are visible only to admin, member and CSM roles. Your customers will only see a major status.

  • Every single post page both on the admin dashboard and the user side, is for just the team members.

  • In dashboard filters

  • Bulk update options

  • Context menu

  • Postcards in Roadmap


How to delete a custom state and what happens when I do?

You can use the x button corresponding to the custom state to delete it. By default, deleting a custom state will remap all the posts in the chosen state to “In Review”, the default state.
